Our Policies and Procedures

At NOVA Holistic Massage & Energy Healing, it is our intention to provide our clients with professional and therapeutic services in an environment designed to ensure ultimate relaxation. We take special care to tailor each treatment to meet our clients’ individual needs. You are not merely having a session, you are having an experience!

 

We strongly believe that your time is valuable as is ours and we make it a priority to be ready for your appointment at the scheduled time. In our commitment to provide a unique and special experience for all of our clients and out of consideration for your practitioners’ time, we have adopted the following policies.

Your Arrival for Healing

Please arrive at least 10 minutes prior to your appointment start-time so that you will have enough time to change and prepare for your session.  We now require all clients to wear a face mask and wash their hands before entering the healing space.  We now require all clients to wear a face mask and wash their hands before entering the healing space. We ask that you supply your own face mask; however, if you do not have one we will provide one for you.  All treatment sessions have a specific time schedule and early arrival allows for a relaxed and unhurried experience. If late arrival is inevitable, your service may be shortened in order to keep on schedule and the original treatment time may still be charged.

Cancellation Policy and Fees

Your therapy times are reserved exclusively for you. We value your business and ask that you respect the office scheduling policies. Should you need to cancel or reschedule, please notify us at least 24 hours in advance of your appointment time. Any cancellations with less than 24 hours of notice are subject to a late cancellation fee of $50. Clients who miss their appointments without giving any prior notification will be charged a $100 flat fee. We recognize the time of our clients and staff is valuable and have implemented this policy for this reason. When you miss an appointment with us, our practitioners not only lose your business, but also the potential business of other clients who could have scheduled an appointment for the same time.

 

Additionally, many times our practitioners will be functioning in an “on call” status and may have traveled to the office specifically for your service. For these reasons, we are obligated to compensate our staff for their time. All services require a credit/debit card to guarantee a reservation so please have your credit/debit card ready when booking. You will be charged a $20 deposit that will be applied to your balance at check-out.  We hold this information as part of our cancellation policies and will only make other necessary charges to your account on the date of your scheduled service. 

Late Arrival Policy

We understand that unexpected things happen; however, all treatment sessions have a specific time schedule. Therefore, late arrivals may not receive extension of the scheduled appointment time. This is because we have reserved the scheduled time especially for you and may have another valued client scheduled following your session.

 

In special cases, and when our schedule will allow, we may still be able to accommodate a partial or full appointment. This will be at our discretion and only with proper, advanced notification of your late arrival. The original reservation fee will be charged.

Informed Consent

Prior to each session, the treatment plan will be discussed with you. During your first visit with us you will be asked to complete the treatment consent form stating that you have read the information, understand it, and agree to comply with the professional Massage Therapy, Bodywork and/or Energy Healing policies and procedures.

 

Clients who we have not seen for at least a year may be asked to complete the form again.

Scope of Practice

NOVA Holistic Massage & Energy Healing practitioners are Virginia licensed and certified professionals and are held to the highest professional standards of the American Massage Therapy Association and the International Association of Reiki Practitioners. Massage Therapy is a profession in which the practitioner applies manual techniques, and may apply adjunctive therapies, with the intention of positively affecting the health and well-being of the client. Reiki is performed “hands-off.” (Please reference FAQs to learn more about what to expect during Reiki Healing) Licensed Massage Therapists, Bodywork Practitioners and Reiki Practitioners do not diagnose or prescribe for medical conditions. Your practitioner may refer you to a medical doctor for diagnosis or treatment.

 

Our services are not intended as an alternative for proper medical attention for specific conditions. Please refer to a medical doctor for any specific condition which requires medical treatment.

Respect for Client Needs and Boundaries

Our practitioners are happy to adjust pressure, temperature, musical volume, work longer on an area or move on at your request. You may choose to: leave on as much clothing as needed for comfort, refuse any methods, or stop the session at any time. You will always be modestly draped during massage and bodywork. Only the area being treated will be un-draped. Sexual interaction of any kind between the client and the practitioner is never appropriate.

Confidentiality and Conversation

We treat all client visits and conditions as strictly confidential. As such, we will not discuss your visit with anyone outside of our staff without your expressed permission. You may choose to talk or not talk during the session. Conversation will be guided by your direction.

Existing and New Medical Conditions

It is the responsibility of the client to keep the practitioner informed of any medical treatment currently being taken, and to provide written permission from the physician, chiropractor, physical therapist, etc., that the massage/bodywork/reiki may be continued.  Please notify us of any allergies or sensitivities to aromas or ingredients when you schedule your appointment.

 

The client must also keep the practitioner informed of any changes in health conditions. For clients undergoing chemo and radiation therapies – please note that we require a doctor’s note that states the doctor is aware of and agrees to the desired treatment.
